Overview

The Technical Affairs department is involved with the preventive as well as reactive maintenance for civil, electrical and mechanical items. It is also involved in upcoming project developments and any alterations which are to be undertaken as per the University’s requirements. This department directs the activities of the various relevant functions to achieve optimum utilization of resources.

The department also oversees the services of outsourced contractors for general cleaning, landscaping, retractable seating, LV panel, fire fighting equipments, AC maintenance, water tank & sewer line cleaning, etc.

The above motto signifies our preference for scheduled preventive maintenance which in turn reduces the reactive maintenance thereby resulting in smooth functioning of the University (for instance, uninterrupted power & water). This in turn will significantly lower the cost of maintenance and increase the durability of finishes.

Department Roles & Responsibilities

       1.    ADMINISTRATIVE SECTION

The various administrative duties & responsibilities of the department include (but not limited to) the following:

  • Coordinating with internal & external departments (within & outside the University) for day-to-day activities.
  • Liaising with concerned section in-charges for resolving any maintenance-related issue based on e-mails / Request for Maintenance forms received.
  • Preparing Technical Reports pertaining to maintenance & related activities in coordination with the concerned section in the department.
  • Preparing memos highlighting issues, grievances, requests etc. to all concerned departments in coordination with the respective section and following up on the same.
  • Maintaining schedule for reserving Conference Hall for exams/events & Lecture Hall 2 for events.
  • Prepare and monitor annual department budget for each section in coordination with the concerned section in-charge.
       2.    PROJECTS SECTION

The Projects section responsibilities include (but not limited to) the following:

  • Document/Drawing Control for previous (as-built drawings for civil, electrical & mechanical), current & upcoming projects.
  • Coordination with the approved consultancy during the preparation of tender documents (Prime Document, Bill of Quantities & Drawings) for upcoming projects.
  • Coordination with the approved contractors, project & cost consultants for all siterelated activities.
  • Coordination with the Finance department for the processing of contractor & consultant payments.
  • Monitoring all ongoing projects
       3.    CIVIL SECTION

The duties & responsibilities of the civil section include (but not limited to) the following:

  • Allocating & monitoring the work responsibility to the technicians for carrying out the preventive & reactive maintenance as per schedule on daily basis and supervision of the same by the Engineer in-charge.
  • Attending to any civil-related emergency defects received from the University.
  • Coordinating with the suppliers/consultants regarding civil works on all ongoing site activities & projects.
  • Coordinating with the main supplier for the annual maintenance of the retractable seating in Conference Hall.
  • Supervising the cleaning company on a daily basis.
  • Maintenance of all four lecture halls and Conference Hall for any exam or event held by the University or outside organization.
  • Execution of any small civil work or alteration work as per University requirements.
  • Certification of invoice payments (wherever applicable) for civil-related work carried out by external agency
       4.    ELECTRICAL SECTION

The duties & responsibilities of the electrical section include (but not limited to) the following:

  • Allocating & monitoring the work responsibility to the technicians for carrying out the preventive & reactive maintenance as per schedule on daily basis and supervision of the same by the Engineer in-charge.
  • Attending to any electrical faults/defects in the University 24/7.
  • Checking and maintaining all the MDB’s, DB’s, capacitor panels, voltmeters, ammeters, pF meters etc. in order to ensure that there is no disruption to the power supply.
  • Coordinating with the suppliers/consultants regarding the electrical works in all ongoing site activities & projects.
  • Coordinating with DPC regularly for substation maintenance and other key maintenance issues.
  • Coordinating with external agencies for servicing of ACB’s, elevators, traffic barriers, etc. on a timely basis.
  • Providing power supply/connection when required for any additional work as per the University’s requirements.
  • Preparing the electricity consumption charges to be levied on all shops in the campus.
  • Certification of invoice payments (wherever applicable) for electrical-related work carried out by external agency.
       5.    MECHANICAL SECTION

The duties & responsibilities of the mechanical section include (but not limited to) the following:

  • Allocating & monitoring the work responsibility to the technicians for carrying out the preventive & reactive maintenance as per schedule on daily basis and supervision of the same by the Engineer in-charge.
  • Attending to any faults/defects related to ACs, sewage, water supply, irrigation etc. in the University on an emergency basis.
  • Servicing of sanitary wares in toilet areas & dormitories, greasing & servicing of pumps.
  • Supervision of the landscape maintenance contractor in order to ensure that all landscape areas are maintained as per the contractual agreement.
  • Coordinating with external agencies for servicing of manholes (including painting), sewage lines & lifting stations.
  • Regular Maintenance of pump rooms, water tanks, checking of internal rods & panels of water tank etc.
  • Supervising the AC maintenance contractor for maintenance of all ACs inside the buildings.
  • Coordinating with the suppliers/consultant regarding the AC, plumbing & other mechanical works in all ongoing site activities & projects.
  • Preparing the water consumption charges to be levied on all shops in the campus.
  • Certification of invoice payments (wherever applicable) for mechanical-related work carried out by external agency.
       6.    HEALTH, SAFETY & ENVIRONMENT SECTION

The duties & responsibilities of the HSE section include (but not limited to) the following:

Health:
  • First-Aid & CPR training to HSE volunteers in DU in coordination with the DU Medical Clinic staff & external related agencies.
  • Ensuring compliance of health & hygiene–related guidelines in cafeterias, restaurants & other shops inside DU.
Safety:
  • Conducting index programs on the fundamental aspects of PPE (Personal Protective Equipment) in the workplace.
  • Maintenance & renewal of all fire-fighting & safety equipment inside DU through certified contractors.
  • Conducting mock fire drills & evacuation procedures in order to familiarize all employees & students in the event of an emergency.
  • Inspecting all Halls & lab areas to ensure that safety regulations & procedures are implemented & followed during events & experiments/workshops.
Environment:
  • Ensuring strict compliance with No-Smoking regulations inside DU.
  • Ensuring that prohibited/banned/hazardous substances are not allowed inside DU.
  • Monitoring lab areas for safe disposal of chemical & other waste

In addition to the above, this section carries out periodic safety inspections of all the University areas and conducts awareness programs among DU community from time to time. This section also coordinates with the Civil Defense, government authorities & other relevant DU departments for HSE-related matters
